About the Role
We’re looking for a highly organized, detail-oriented Executive Assistant - Sales Support to support luxury real estate sales teams in South Florida with client communication, CRM follow-up, scheduling, documentation, and sales operations.
This role combines executive assistance, administrative support, and client-facing sales coordination. You’ll work closely with real estate agents and leadership to manage the operational details behind each client journey, including follow-ups, property tour logistics, CRM updates, client information, documentation, and next steps.
This is not a traditional administrative assistant role. While organization, structure, and attention to detail are essential, you’ll also be supporting a commercial process where every message, task, update, and follow-up can influence the client experience and help move opportunities closer to closing.
The ideal candidate has experience as an executive assistant, administrative assistant, sales assistant, client support specialist, or in a role supporting executives, sales teams, or U.S.-based companies. A strong sales support mindset, professional communication, and openness to using AI and technology to work smarter are highly valued.
What You’ll Do
Support real estate agents and leadership with daily organization, scheduling, follow-up, and sales coordination.
Manage and update client information in the CRM, ensuring records, tasks, notes, and next steps are accurate and complete.
Support client communication in English and Spanish through written channels with a clear, professional, and polished tone.
Coordinate property tours, meetings, schedules, reminders, and logistics with clients and the sales team.
Track pending actions, deadlines, follow-ups, and operational details across multiple client journeys.
Prepare, organize, and structure client information so the sales team can make better and faster decisions.
Support administrative and documentation-related tasks connected to the client and sales process.
Help maintain order and visibility across CRM pipelines, client status, and team priorities.
Use AI tools to organize information, draft or improve communication, summarize updates, and support daily execution.
Identify small process improvements that can reduce manual work and improve accuracy.
Provide reliable operational support before, during, and after the sale.
Make sure no important detail is missed across high-value client interactions.
What We’re Looking For
Full professional fluency in English and Spanish.
1+ years of experience as an executive assistant, administrative assistant, sales assistant, client support specialist, operations assistant, or in a role supporting executives, sales teams, or client-facing processes.
Experience working with U.S.-based companies, executives, sales teams, or corporate environments is highly valued.
Strong organization, follow-up, task management, and attention to detail.
Strong written communication skills and ability to interact professionally with clients, stakeholders, and internal teams.
Experience working with CRM tools, task management systems, documentation tools, or structured follow-up processes is a plus.
Ability to manage multiple priorities, keep information organized, and follow processes with accuracy.
A commercial mindset and interest in supporting sales, client experience, and business growth.
Openness to using AI tools, automation, and technology to improve daily work and administrative processes.
Comfortable working in a fast-paced, remote, high-performance environment.
Weekend availability required, with two weekdays off.
